Adding Backfile Document Catalog Options (All Courts)
To assist courts more efficiently import documents into the MiFILE DMS, we are adding "Backfile (Public)" and "Backfile (Confidential)" options. The main use case for these options is for courts that are just joining MiFILE and want to get their active cases into the MiFILE DMS so they are not managing both a paper and electronic file. A few points to remember when using these new catalog options.

  • Remember that the "Backfile (Public)" option will be publicly accessible. If you have any documents that are confidential, sealed, or containing PII, they should not be added to the public backfile. Instead, please import those using the "Backfile (Confidential)" option. 
  • Because these documents should already be recorded on the register of actions, courts should only index to a backfile option when using the Bulk Import option (which imports directly into the file cabinet without writing to the case management system). 
  • Backfile batches are still subjected to the 25MB file size limit. Depending on the size of your import, you may need to break it up into smaller imports. 
  • Please also be mindful of retention. If there are any specific documents that are subject to unique retention schedule requirements, those documents should be imported and indexed specifically. 

Provide Attorney Bar Number at Import
You can now enter a bar number associated to an imported document when using either Document or Bundle Import. Previously, this wasn't available, and if importing a document that required an attorney association, you would be guaranteed an integration error. This update gives user the opportunity to avoid that error by entering a bar number when needed. 


Attorney Association Logic Change (For courts using a JIS case management system only (DCS/TCS)) 
To avoid integration issues, MiFILE will only send an attorney bar number to the case management systems when the API requires a bar number to be sent with a particular event code.

For our standard document catalog, those events include: 

District Court: APF, APF27, APFEE
Probate/Circuit Courts: APP, APT, ATTR, PAA, RMVA, SOA

Fix: Stamps Not Always Burning in As they were Applied
There were instances where a stamp's location would shift or wrap upon finalizing a documents. This fix will ensure that a stamp will burn into a document exactly as it appeared at the time of finalization.

Scaling Enhancement - Document Catalog Updates
This is an internal change for JIS and our vendor, but worth sharing here. We are updating the way in which we update the document catalogs for courts to make that process much more efficient. This means being able to make more and quicker adjustments based on the feedback we received.
